A phased approach

Our approach involves the phased elevation of our Clients’ business processes from legacy systems to newly built domain applications responsible for executing specific processes (or parts of them).

These applications will gradually reduce the role of the old system to, for example, a reporting data warehouse, preserving its critical functions and reducing technical debt.

Method of development for domain applications

We build domain applications having in mind:

  • modern microservice architecture and BPMN Camunda platform
  • open Java or .NET Core platforms
  • possibility to run in classic environments (Linux/Windows virtual machines) and containerized environments (Kubernetes/OpenShift)
  • optimized UX based on task flow for each user group
  • user interface using modern solutions such as Single Page Application (SPA) or Progressive Web Application (PWA) with a mobile-first approach, using Angular or React frameworks
  • building into the system an integration event bus feeding the old system with data and implemented using Apache Kafka or RabbitMQ
  • Agile approach – together with the client we develop the MVP scope and roadmap of the solution development, we work in short sprints.

Case: “sales network”

The challenge:

To conceive the most beneficial solution for the client that would automate an important business process outside the core system. Technological debt, high complexity and high development costs of the core system prevented its expansion to include new necessary functions.

Description of the Client’s problem:

Managing the agency network is one of the Client’s key processes. So far it has been mostly carried out manually. The exchange of information between the agencies and the head office took place via email and the contracts were created in MS Word. The same recording data were first recorded in an archaic main system for policy servicing and then in the RPU system (Register of Insurance Intermediaries) used for reporting agents and OFWCA to the PFSA. The execution of the various steps in the process was time-consuming and subject to costly human error.

Our solution:

We elevated the agent handling functionality to an external solution using the Camunda workflow engine as one of its components, along with its full automation and complete handling in the new system. Information including old data was migrated from the core system. This made the process manageable and monitored at every stage.

Benefits for the client:

Freeing the core application from the burden of executing parts of the process and embedding it entirely in the new application allowed for its full automation, monitoring and control. The number of errors was reduced eightfold. The client reduced the risk of technological debt of a key system without having to replace it. The business gained flexibility and a new quality allowing it to quickly optimise the management of the agent network.

Case: “after-sales service”

The challenge:

To propose a solution that would allow the client to unify and automate the after-sales process carried out in several different systems under the conditions of the client’s decision to shut down several of its systems.

Description of Customer’s Problem:

The post-sales process for handling changes such as customer data or product parameters after purchase had not been standardized. The entire burden of implementing such changes, despite having a partner channel, rested solely on the employees of the institution. Additionally, this was done in several different, unconnected systems. With increasing sales and customer numbers, it generated more and more problems and frustration. Numerous inaccuracies in the data and the lack of quality standards in the processing of customer orders called for rapid change.

Our solution:

We proposed to build on the Camunda platform a simple, consistent and complete after-sales process with automatic communication of changes to other systems that ensures monitoring and smooth handling of tasks assigned to employees.

Benefits for the Client:

The built application proved to be a solution to many problems, including those that previously seemed beyond the scope of the project. The implementation, as well as the use of a unified process, contributed to ensuring data consistency (including historical data). Involving new users in an intuitively simple process allowed us to remove bottlenecks, and monitoring of the process and timeliness reduced tenfold the number of tasks completed post-deadline.
